Murphy-Hoffman Company, LLC is North America’s largest Kenworth truck dealership group and leasing group. As MHC continues to grow, we have an opening for a Fleet Compliance Specialist. The Fleet Compliance Specialist leads the coordination and processing of MHC Truck Leasing, Inc. (“MHCTL”) vehicle licensing and permit applications and renewals. Processes various tax reports and files tax returns/reports relating to contract vehicles (fuel tax, HVUT, and personal property). Manages the unit status change workflow.
- Works with branches to renew vehicle license and permits and when applicable, processes license renewals for the branch. Tracks renewals to ensure they are received timely. Verifies each unit has required license and permits in accordance with contract terms and customer requirements.
- Coordinates the procurement of licenses and permits for new units and ensures unit delivery to customer is timely.
- Audits and reconciles actual charges for taxes, licenses and permits with amounts included in contracts and produces invoices accordingly when actual amounts exceed contract amounts.
- Consolidates and coordinates fuel tax process ensuring Driver Trip Reports, mileage downloads, and fuel downloads are processed appropriately. Provides reports timely to the field for customer review and provides immediate feedback regarding any issues with data provided.
- Files corporate and customer IFTA’s on a monthly and quarterly basis.
- Processes monthly and annual HVUT returns, making sure MTL receives all credits due (MTL and Customer filings, if applicable).
- Oversees property tax returns as they apply to contract vehicles ensuring they are well-timed and accurate.
- Prepares customer requested reports relating to truck legalization as needed.
- Oversees the unit status change workflow, including unit in-service, out-of-service, billing control file setup, and transfers. Works with Staff Accountants to process final bills for out-of-service units and calculating partial month fixed charges for in-serviced units.
- Inputs and processes the Consumer Price Index semi-annual rate increases.
- Performs other duties as assigned by supervisor.
- College degree or direct experience in truck licensing, permitting, fuel tax reporting, and/or billing is preferred. Ability to learn quickly and develop full understanding of these concepts.
- Requires excellent communication, interpersonal, and customer service skills.
- Proficient with Microsoft Office products, especially Microsoft Word, Excel, and PowerPoint. Ability to learn and adapt to new software and technology is necessary. AS400 experience is a plus.
- Needs to be detail oriented with good organizational skills. Also requires excellent written and verbal communication skills.
- Must have a positive, can-do attitude and be willing to work in a collaborative team environment.
- Must thrive in a fast-paced environment and be able to concurrently manage numerous open requests and tasks.
- Ability to work with minimal supervision.
